Within the association Physicians Association for Nutrition-the Netherlands (Chamber of Commerce 80903916), hereinafter referred to as PAN Netherlands, your personal data is handled with care in accordance with the General Data Protection Regulation (GDPR).

This document explains how PAN Netherlands handles your personal data. This privacy policy applies to all personal data we process concerning you when you use our website, the information provided therein, and regarding your membership of our association. The same applies to information we provide in other ways.

Effective Date
The effective date of this privacy policy is January 1, 2021; with the publication of a new version, the validity of all previous versions expires. Changes will be announced on the website. Below is an overview of the personal data we process, as far as applicable:

  • Other personal data actively provided by you, for example by filling out a contact form on the website, in correspondence or by phone, and/or because you are a member or otherwise involved with our association.

The website contains links to third-party websites, including Instagram, Facebook, LinkedIn, and YouTube. Clicking on these links will redirect you to the respective website. In this case, it is possible that the website of that third party places cookies. We have no control over this. For more information, please refer to the privacy statements of these third parties.

When registering for one or more of our webinars, your full name, professional group, and email address are collected for the purpose of planning, execution, and follow-up of the webinars, as well as for more specific communication.
Registration for PAN webinars takes place on a page of the Zoom webinar platform created for each of the webinars. Any collection or processing done here by Zoom falls under Zoom’s responsibility. For more information about the nature and scope of the data processed by Zoom, please refer to Zoom’s privacy policy. Zoom is the responsible party regarding data protection law for that part. After this registration, Zoom forwards this information to PAN to facilitate the webinars.
PAN reserves the right to record the webinars and publish or make them available in whole or in part on its channels and/or third-party channels. By participating in the webinar and/or submitting a question (verbally or in writing), the participating person agrees to be identifiable in this context and consents to publication indefinitely.

Special and/or sensitive personal data we process
Our website and/or service do not intend to collect data about website visitors under the age of 16, unless they have permission from parents or guardian. However, we cannot verify if a visitor is over 16. Therefore, we recommend that parents be involved in their children’s online activities to prevent data from being collected about children without parental consent. If you believe that we have collected personal data about a minor without permission, please contact us at, and we will delete this information.

Purposes for which we process personal data
PAN Netherlands processes your personal data for the following purposes:

  • Maintaining a membership administration
  • Sending our newsletter (each newsletter contains an unsubscribe link)
  • Being able to call or email you if necessary to provide our services
  • Informing you about changes to our services and products
  • Offering you the opportunity to create an account
  • For historical, statistical, and archival purposes
  • PAN Netherlands also processes personal data when we are legally obliged to do so, such as data we need for our tax return.

Legal bases for data processing
If you request information via the website, email, or otherwise, you consent to the use of your personal data to fulfill your request.
The processing of your personal data by PAN Netherlands is necessary for the purpose of your membership of PAN Netherlands. The legal basis for processing is therefore the necessity for the performance of ‘a contract’ that you, as a member and affiliate, have entered into with PAN Netherlands.
The legal basis may also be a legal obligation or compliance with your request.

Automated decision-making
PAN Netherlands does NOT use automated decision-making based on personal data or profiling.

How long we retain personal data
PAN Netherlands does not retain your personal data longer than necessary to achieve the purposes for which your data are collected. We adhere to the following retention periods:

  • Contact details: as long as necessary to fulfill your request
  • Membership administration: as long as you are a member of our association, taking into account the statutory retention period for (financial) administration.

Sharing personal data with third parties
PAN Netherlands only shares personal data with third parties with your consent and only if necessary to fulfill your request to us or to fulfill an agreement with you. Furthermore, because compliance with a legal obligation is required.

Data processing agreements
We enter into data processing agreements with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. PAN Netherlands remains responsible for these processes.

Accessing, correcting, or deleting data
You have the right to access, correct, or delete your personal data. Additionally, you have the right to withdraw your consent to data processing or object to the processing of your personal data by PAN Netherlands, and you have the right to data portability. This means that you can request us to send the personal data we have about you in a computer file to you or another organization specified by you.

To ensure that the request for access is made by you, we ask you to include a copy of your ID with the request. In this copy, please black out your photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN) for your privacy protection. We will respond as soon as possible, but within four weeks, to your request.
